We are currently looking for a skilled Admin Assistant to join our team and assist with invoicing, maintaining accurate records, and supporting day-to-day office operations. In this role, you’ll play a key part in ensuring our invoicing process runs smoothly and accurately. This position requires strong organizational skills, attention to detail, and effective communication. Key Responsibilities:
- Greet visitors and provide a positive first impression.
- Answer and direct incoming phone calls, ensuring effective communication.
- Manage the voicemail system and relay messages to appropriate team members.
- Sort and distribute daily mail and other correspondence.
- Perform clerical tasks, including filing, faxing, and organizing office supplies.
- Assist with office organization and light housekeeping tasks.
- Support event planning and coordination for team initiatives.
- Monitor inventory levels and order office supplies as needed.
- Assist with scheduling and coordinating maintenance for office equipment.
- Help onboard new hires and maintain their orientation materials.
- Assist with invoicing
- Must have reliable transportation.
- Proficient in standard office software and multi-line phone systems.
- Strong verbal and written communication skills, with a focus on customer service.
- Ability to lift up to 25 pounds and perform tasks that involve mobility around the office.
- Prolonged periods of sitting at a desk and working on a computer.
- Frequent use of a telephone and computer to communicate with customers.
- Occasional lifting of office supplies, files, and equipment up to 25 pounds.
- Ability to move freely around the office to access files, office equipment, and interact with team members.
- Regularly required to talk or hear, and occasionally required to stand, walk, and reach with hands and arms.
